In this tutorial, we'll go through the steps to create a live learning event or external training on Boost Learn. Only certain admin and manager roles have the ability to create, edit, and register learners on live learning events.


To start creating a live event, select Live Learning in the left menu bar. Then select Create Event at the top right of the screen.


Choose whether the event will be a single session or a series of sessions. Enter a clear event name, for example, Venepuncture Demo. Then input the event information and customise the event settings.


Important notes:

  • The event owner can edit any part of the event or delete it.
  • You must add event instructors so they have permission to add sessions, register learners, and take attendance. Without adding instructors, they will not be able to administer the event.
  • You must enable Overbooking so you can manually register learners.
  • Select Manual Registration so managers and instructors can add learners to sessions.


When you're finished with the settings, select Create.


Now that your event is created, you need to link it with a course. A live learning event is always a module within a course.

Select Courses from the left menu. On the Courses page, select Actions and choose Create Course. This creates a draft course that you can configure before publishing.


Start by naming the course, for example, Venepuncture Demo – Practical. Adding “practical” helps distinguish it from an e-learning course in your training matrix. Select Save.

With your draft course created, you can now add the event to the course. You’ll return to the rest of the course settings later.


Go to Content, then select Add a Live Learning Event, and choose the event you created.

If you have finished adding modules, you can now complete the remaining course setup. There is no need to add instructors at course level for practical events—these were already set in the event settings.

Next, input the course settings according to your organisation’s standards.


Important settings:

  • Under Certs & Credits, ensure the course includes a certificate.
  • Add recertification rules based on your organisation’s requirements.
  • Set the due period—the number of days learners have to complete the course or event. Most are set to a 30‑day period.


Go to Additional Settings:

  • Change or set the course owner if needed.
  • Enable managers to enrol learners—this enables the “Register” button for adding learners to sessions.
  • Disable ratings and reviews.
  • Disable instructor messaging.
  • Enable Launch to Description.
  • Set the estimated time to complete.


Lastly, set notification reminders based on your organisation's preferences.

When the course setup is complete, select Actions and publish the course. You will not be able to register learners to the event or its sessions unless the course is published. Remember that you cannot edit course content once it is published.

With the event created and added to a published course, return to the Live Learning Event to set up sessions.

When you open the event, you will now see that it is linked to the course. Select Create Session, then choose Schedule.


Give the session a name, for example, Venepuncture Demo – March. Instructors will pre‑populate from the event settings, but make sure they are correct.

A session can be either online or in person.

  • For online events, paste the webinar link.
  • For in‑person events, choose a location from the list (if your organisation’s locations are configured).


Input the session settings. Usually, leave Capacity disabled because enrolments will be managed manually. When ready, select Schedule.


Now register your learners. Open the session and select Register. Search for learners and add them manually. Learners will be notified based on your event notification settings.

After the session takes place, take attendance by opening the session and selecting the three dots in the top right corner. Choose Mark Attendance. You will see a record of attendees and can mark those who were present. Those marked as attended will appear as complete in their training matrix.


If live learning sessions are not working as expected, double-check the following:

  • Is Overbook enabled in the event settings?
  • Have instructors been added to the event?
  • Has the event been linked to a course?
  • Are managers allowed to enrol learners in Additional Course Settings?
  • Is the course published?
